 Job Summary

The mission of the Royal Hibernian Academy (RHA Gallery) is to foster the vital relationship between artists and the public in the enjoyment of visual art and in the support of those who make it. The RHA is based at 15 Ely Place, Dublin 2.

The RHA is seeking an individual to administrate the Academy’s activity. The successful candidate will support the President and Officers of the Academy in the pursuance of their duties, service the three Boards of the Academy and provide office administrative support.

The individual should be well organised, be skilled at minute writing, and have the capability of working with a wide range of stakeholders.

The Academy Administrator will work as part of a core team that produces the Academy’s many programmes under the guidance of the Director and the targets set by the Council of the RHA.

This is a part-time position and will be offered initially as a three-year contract at an annual salary of €20,000.

Roles & Responsibilities include:


  • Administrative support to the Council, Boards and Officers of the Academy
  • Plan and co-ordinate the logistics and papers for Assembly, Council and Board meetings
  • Undertake extensive and accurate minute-taking
  • Update and keep a record of Bye-Law amendments and procedures
  • Assist the Director on a daily basis
  • Assist the RHA President, Secretary and Keeper in carrying out their duties
  • General Academy Member queries and assistance
  • Develop and gather content for the RHA Newsletter, website and social media where necessary
  • Art Logic Viewing Rooms support for marketing and curatorial teams
  • Respond to and facilitate research queries for the Academy Library and Archive
  • Event planning and organisation for the upcoming 200th year anniversary plans in 2023

Annual Exhibition Support:

  • Gather and edit Annual Exhibition Catalogue Academy content i.e. essays, image sourcing, proofing
  • Organise Invited Artists lists and submissions for the Annual Exhibition
  • Confirm the Annual Exhibition award sponsors, organise selection committees and schedule the Award Ceremony
  • Event planning and preparation for the Annual Members’ Dinner
  • Support the curatorial team throughout the Annual Exhibition

Office Administration:

  • Manage office supply orders and budget
  • Issue budget activity reports to Accounts Department
  • Organise staff events
  • Respond to general gallery queries and forward to relevant departments
  • Assist Facilities Manager with administration and planning
  • Provide website management and support to the marketing team
  • Ensure appropriate insurance is in place for the activities of the organisation and manage annual insurance renewal
  • Undertake any other duties in line with the responsibilities of the post as requested by the Director

The successful candidate will have:

  • A third level qualification in arts administration, corporate governance; project management or similar discipline
  • Relevant work experience in similar position
  • Strong administrative skills coupled with an ability to organise and prioritise multiple tasks with excellent attention to detail
  • A proactive approach to problem-solving with good decision-making capability
  • A proven ability to deliver a professional service in response to queries
  • Good interpersonal skills together with an ability to maintain positive relationships
  • Proficiency in IT skills including MS Office and databases
  • An ability to work independently and on own initiative whilst being part of a wider team
  • Excellent written and oral communication skills
  • A positive and professional manner when working in the Gallery and the ability to deliver an effective service

Terms & Conditions:

  • This position will be based in the RHA offices, 15 Ely Place, Dublin 2
  • The post holder will be expected to work a 21-hour week and will be willing to undertake evening and weekend work as necessitated
  • Office hours are 10am to 5pm, one hour lunch break
